UWA Reunion Toolkit

Reunions are an exciting and rewarding way to reconnect with old friends and UWA.

We encourage you, our graduates, to take control of your reunions using a committee structure to share workload and come to consensus decisions about the type of event you wish to run. Our Alumni Relations staff are available to offer guidance on the process, having helped many groups run their own reunions. The core of every reunion should be about the enjoyment of reconnecting with university friends. We also strongly recommend that you include plans to help your classmates feel connected with the University. We can offer you advice on great ways to achieve this.

12 - 9 months out

Form a committee and decide on your preferred event format
Select reunion venue and package

6 months out

Select reunion date book venue
Work with UWA to send a 'Save the Date' email to classmates
Prepare event plan and budget
Decide on a reunion class gift, if desired
Do a call-out for photos and memorabilia, for yearbook or display

2-3 months out

Send invite to classmates
Collect RSVPs and payments
Collect bios and photos if yearbook will be created
Finalise RSVPs and any speaker/campus tour details

Getting started

All reunions are volunteer-driven
Organised/planned by volunteer committee with support from UWA

Volunteer committee

Key to the success of an event is having a volunteer reunion organiser. Forming a dedicated committee of volunteers to coordinate the event is a helpful first step in the process. Work together to share planning and promotion in the early stages – this ensures success of the event in long-run.

Committee Chairperson

The chairperson is responsible for:

Liaising with UWA as single point of contact
Forming a committee
Scheduling planning meetings with committee members
Overseeing planning timeline, checklist and budget
Working with UWA to update alumni contact information to ensure as many of your classmates are informed as possible

Committee Members

The members of the committee are responsible for:

Locating lost alumni through personal channels and social media
Following up invitations, encouraging attendance and building support
Assisting in planning and execution of event including:
- Venue
- Menu
- Program/Order of Proceedings
- Deciding on which communications are required and other promotional initiatives

Support Available

For Alumni who are seeking to hold reunions, we are able to offer the following support:

Names of graduates from a particular degree and year
Electronic event-related communications including the design and distribution of:
- Save the date
- Invitation
- RSVP reminder
- Event reminder
Liaison with faculty members or Deans for speakers and/or Faculty and campus tours
Suggested suppliers for UWA events (photographers, caterers etc)
Access to templates as well as tips and tricks for running your event (budget, order of proceedings, registration tracking templates etc)
